Pets in Harmony Veterinary Hospital is a busy 2-doctor small animal practice just north of Zelienople, offering conventional and integrative care for dogs and cats in the Pittsburgh area. We also have a comprehensive Rehabilitation Center for non-pharmaceutical therapies.

Our client service representatives must be comfortable working independently at the front desk to answer calls, texts and emails, schedule appointments, process payments, and help team members when needed.

Our staff is expected to meet the demands of the clinic's schedule and work effectively and efficiently with the doctors and support staff as well as be able to work independently. We work with many patients of all sizes so the position requires physical strength and the ability to lift up to 40-50 lbs as well as be able to work on the floor, crawl, grasp objects, reach and squat.

Candidate MUST have prior experience working at a veterinary facility to be considered for this position.

CLIENT COMMUNICATIONS & RELATIONS
  • Greet clients and pets upon entering the hospital
  • Anticipate client needs; respond with patience, empathy, and understanding
  • Answer phones and check messages promptly; assess client/patient needs and respond appropriately
  • Check email inbox; reply promptly and professionally
  • Outgoing calls: appointment confirmations, rescheduling, follow-up calls, delivering messages from medical care team
  • Schedule appointments and surgical visits (in-person, by phone, and online)
  • Keep clients informed if doctor is running behind schedule​

FINANCIAL RESPONSIBILITIES
  • Review treatment plans, discuss medical costs and payment options; answer client questions
  • Review invoices for accuracy prior to checkout
  • Collect deposits & payments; discuss CareCredit options
  • Balance drawer, close out credit card machine, and prepare deposit at end-of-day
  • Complete end-of-period financial reports
  • Check for overdue billing; mail invoices as needed

CLIENT EDUCATION
Possess basic knowledge of:
  • Small animal veterinary medicine (able to recognize what constitutes an emergency)
  • Behavioral problems in kittens, puppies, cats, & dogs
  • General animal husbandry
  • Commonly used medications, their uses, and side effects in different species​
  • Develop familiarity with common laboratory services offered and vaccination/drug monitoring schedules
  • Provide clients with helpful handouts/brochures related to their pet's condition

RECORD KEEPING
  • Prepare all client/patient charts prior to appointment​
  • Understand veterinary shorthand regarding dose/strength/frequency instructions​
  • Follow medical record format
  • Record all conversations (in-person and by phone) concerning the patient in the permanent chart
  • Keep medical records and client contact information up-to-date in computer software and in hard file

HOUSEKEEPING
  • Keep reception area, desks, hallway, entryway, waiting area, and bathroom clean and odor-free at all times
  • Keep glass surfaces clean and smudge-free
  • Perform equipment maintenance as needed
  • Maintain a clean, safe environment outside of hospital: includes snow/ice removal, picking up garbage and feces as needed
  • Vacuum, mop, and disinfect surfaces to maintain a hygienic environment for clients and patients
  • Inform supervisor of any unsafe conditions and infractions of safety rules
